CORE Program Operations Specialist (Option to Coach, too)

Program Operations Specialist


The Program Operations Specialist is responsible for the general oversight and maintenance of CORE Program Operations. Acting as the general custodian of program operations, this person is the behind-the-scenes whiz and project manager extraordinaire who helps us to seamlessly deliver top-notch programs to the communities we serve. The Program Operations Specialist is a key internal team member who will work side by side with our Program Development Lead, collaborate with our Management Team, and report directly to the President of CORE. While this person predominantly works remote, it is critical they have the pulse on the CORE Community and are able to work in-field to observe their work at play to regularly improve and optimize CORE Program Operations.

Job Responsibilities / Duties

Program Operations:

  • Update and Maintain Program & Events Calendar

  • Update and Maintain Program & Events Pipeline

  • Confirm and Coordinate Program Details and Logistics with Program Partners

  • Collaborate with Marketing on Program & Events Promotion (flyers, website, social media, etc)

  • Organize and Maintain Library of Program Curriculums and Lesson Plans

  • Create and Manage Program Rosters

  • Oversee Program Inventory (i.e. sports equipment, apparel, other): manage equipment levels; ensure appropriate equipment is available; order new equipment as needed 

  • Organize and Manage Google Drive Information related to Program Operations

Program Operations, Staffing-Specific:

  • Coordinate Staffing Needs with Program Development Lead and Management Team to ensure programs are properly staffed to meet the CORE business goals and quality/standards

  • Monitor and Maintain all Coach Clearances (TB, CPR, LiveScan, etc)

  • Collaborate with Program Development Lead to manage and oversee the Coach in Training (CIT) and Field Study / Internship Programs

Program Operations, Other:

  • Teach and Embody the CORE Mission & Philosophy On & Off The Field

  • Act as Brand Ambassador in all Public & Social Environments

  • Reliable Form of Transportation to / from Newport Coast Area for Weekly Meetings

  • Participate in Weekly Program Operations Meeting

  • Participate in Regular Coach Meetings

  • Co-Manage Program Brainstorming Meetings with Program Development Lead

  • Improve Existing Programs in Partnership with Program Development Lead and Management Team

  • Provide Ideas and Insight for Organizational Growth

Preferred Prerequisites:

  • Proficiency in Google Suite Applications

  • Excellent Verbal and Written Communication Skills

  • Highly Organized with the Ability to Multitask

  • Strong Time Management Skills

  • Team Player and Collaborator

  • Ability to Self-Motivate in a Somewhat Autonomous Role

  • Ability to Self-Manage in a Remote Work Environment

  • General Knowledge of Youth Sports: basketball, soccer, baseball, football, or lacrosse
